This policy explains which personal details Windows and Doors Birmingham collects, what they're used for, who receives them and how long they stay with us. It's written to be read, not skimmed past.
The Data Controller
Windows and Doors Birmingham is an enquiry service that connects homeowners in Birmingham and the surrounding area with a local window and door installer. We are the controller, under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, for the personal data you give us through this website or by phone.
Our contact details: Windows and Doors Birmingham, Vyse Street, Birmingham B18 6NF. Email info@windowsanddoorsbirmingham.co.uk.
Information We Collect
From the enquiry forms. The forms collect your name, phone number, email address and postcode. The quote form also asks what the project is, roughly how many windows or doors are involved, what type of property it is, whether the property is listed, in a conservation area or on a private estate scheme, and when you're hoping to start. The property questions are there because flats and protected homes can need different permissions. Anything you type into a message box is collected as well, so please leave out details you wouldn't want an installer to see.
From phone calls. Calls to the number on this site are handled by WhatConverts, a call-tracking provider. For each call it logs your number, the date and time, the length of the call and the page or search that led you to ring. The number displayed may vary between visitors and between pages, because the system assigns tracking numbers so we can tell which pages are working. All of those numbers come through to us. Calls may be recorded: if call recording is switched on, we will tell you at the start of the call.
From ordinary browsing. Our web server keeps standard access logs (IP address, browser type and pages requested). These help us keep the site secure and find faults.
How the Form Is Processed
The form is processed by a script on our own website, which emails your answers to us. Your enquiry doesn't pass through a separate form-handling company. A hidden field on each form traps automated spam and stores nothing about you.
Why We Use It, and the Lawful Basis
- To pass on your enquiry. You've asked to be put in touch with an installer, so we use your details for that and to answer your questions. The lawful basis is taking steps at your request before a possible contract, together with our legitimate interest in running the service you chose to use.
- To understand which pages help people. Call tracking tells us which pages people were reading when they decided to get in touch. We rely on legitimate interests here, having balanced that against your privacy, and we use no more data than we need.
- To meet legal obligations. Some records may be kept where the law requires it, or to handle a complaint or a legal claim.
Your details are never sold, never added to marketing lists and never used for automated decisions about you.
Who Receives Your Details
Your enquiry is shared with one independent installer that covers your area, which uses it to contact you about the work. From that point the installer is responsible for the copy it holds, under its own data protection duties. Beyond that one installer, your information is handled only by companies providing services to us: WhatConverts for call tracking and our website host. If any provider processes data outside the UK, we rely on the safeguards UK data protection law requires for such transfers.
How Long We Keep It
We keep enquiry records, call logs and any call recordings for 12 months, then delete them. Records of a complaint may be kept for longer while the complaint is open. Our host keeps server logs for its own short security period.
Cookies and Third-Party Scripts
This site uses no Google Analytics, no advertising cookies and no social media trackers, and it loads no Google services. The only third-party script comes from WhatConverts. It may store a small identifier in your browser so it can show a tracking number and connect a call or form to the page that prompted it. That storage falls under the Privacy and Electronic Communications Regulations. You can clear it in your browser settings whenever you like, and the site will carry on working.
Your Rights over Your Data
You can ask us to:
- give you a copy of the personal data we hold about you
- put right anything inaccurate or incomplete
- erase your data where there's no valid reason to keep it
- limit how we use it, or object to processing that relies on our legitimate interests
- hand over the data you provided in a portable format
Send any request to info@windowsanddoorsbirmingham.co.uk and we'll respond within one month. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk. You're free to go straight to the ICO, though we'd like the chance to sort the problem out first.
